Principal's Message
Welcome to the 2026-2027 school year at Gramercy Elementary School! It is an honor to serve as your principal, and I am excited to welcome both new and returning families to another great school year.
At GES, we believe student success is built through strong partnerships among our students, families, faculty, staff and community. We are committed to working together to provide every child with the support, encouragement, and opportunities they need to succeed.
This handbook is designed to provide important information about our school's policies, procedures and expectations. We encourage you to review it carefully and use it as a resource throughout the year. If you have questions or concerns, please don't hesitate to contact us.

Arrival and Dismissal
The doors for students to enter the building will be opened at 7:30 AM. Breakfast will be served from 7:30 AM - 7:45 AM. Carpool students wishing to eat breakfast must arrive by 7:45 AM. Late buses will be accommodated as needed.
Parents who pick up children after school must wait in the carpool line, enter the driveway on left side of the school, display the carpool number, and follow the instructions of the duty personnel. To ensure the safety for all children, parents must drive through the carpool line to pick up and drop off children – students will NOT be allowed to walk across campus to get into cars and parents/guardians will not be allowed to walk up to get students during dismissal. This is a safety issue and we want to protect our students.
Students are not allowed to walk to or from school.
Late Arrival/Tardy
Carpool students arriving after 7:50 AM will be considered tardy. If a student is tardy, an adult must accompany the student to the office in order to sign-in the student. School office personnel will give the student an admit slip, which the student must present to the teacher upon entering class. Late buses are an exception.
REMINDER – 3 unexcused tardies/sign-outs constitute 1 day of absence for parish perfect attendance.
Check-Out Procedure
Students who need to leave the school grounds before regular dismissal must be “signed out” in the secretary’s office. Parents are requested to send a note notifying the teacher of an early checkout. There will be NO sign-outs after 2:45 p.m. NO EXCEPTIONS! A valid ID is required to sign a child out of school. Only individuals listed on the student's emergency locator form are allowed to check-out the student and must present a picture ID.
Student Attendance
Students must attend school for 167 days each school year. Students with more than ten (10) unexcused absences will not be eligible for promotion.
The district’s automated system will notify parents by phone when a child is not at school.
When a student is absent, an absentee form (SJ2) or a doctor’s medical excuse must be brought to school the day that the student returns. Failure to bring in an absentee form or medical excuse will result in an unexcused absence. Parents are allowed to use two absentee forms (SJ2) each school year.
After four (4) unexcused absences, a referral will be made to the Child Welfare and Attendance Liaison.
NOTE: Please refer to the St. James Parish Student Policy Manual regarding state and parish attendance laws.
Transportation Changes
Parents are required to send a note notifying the teacher if a child’s normal after school transportation will be changed. If there is a change in transportation mid-day, please contact the front office to get that message to the student. Do not contact the individual teacher. Parents requesting bus changes must complete a “School Bus Transportation Request'' form that has to be approved by the transportation office before any changes can be made. An online form can be found on the district’s webpage www.stjames.k12.la.us. Parents submit the form online, to schools, or to transportation@sjpsb.org.
Legal Custody of Students
If the legal custody of a student has been judicially assigned to one parent, a legal guardian, or foster parents, a certified copy of the judgment must be submitted to the school administration to be kept on file with the student's records. Upon the receipt of legal custody, release of the student will be determined by the instructions in the court or state decree. In the absence of a legal document, a child may be released to either parent, upon presenting proper identification. Gramercy Elementary will not intervene, nor take sides, in custody issues.
School-Wide Behavior Support System
School-Wide Behavior Support System
GES uses a proactive school-wide system of support including Responsive Classroom, Positive Behavior Intervention and Support (PBIS) and Restorative Practices, to teach and support appropriate behaviors in a way that establishes a culture of competence within the school. Our discipline policies are based on State Legal Stature and District Policy adopted by the St. James Parish School Board. Please refer to the St. James Parish Student Policy Manual for the district’s discipline policies.
PBIS Point Store (Bi-Weekly)
Our school uses a Positive Behavioral Interventions and Supports (PBIS) system to recognize and reinforce positive student behavior. Students earn PBIS points when teachers observe them demonstrating our school-wide expectations of Respect, Integrity, and Excellence.
Every two weeks, students may redeem their earned points through our online PBIS Store. The store offers a variety of rewards, including special privileges, school experiences, and tangible items. Some rewards may be available only to a specific classroom or grade level, while others are available school-wide.
Golden Gators
Each month, teachers may nominate students who consistently demonstrate outstanding behavior and exemplify our school-wide expectations to be recognized as Golden Gators.
Students selected as Golden Gators will be honored for their positive choices and invited to attend a special Golden Gator Pizza Party during their lunch period.
Quarterly PBIS Celebrations
At the end of each quarter, students who demonstrate positive behavior throughout the grading period may earn the opportunity to participate in a PBIS Quarterly Bash.
To be eligible, students must:
- Have no Office Discipline Referrals (ODRs) resulting in time out, in-school suspension, out-of-school suspension, or bus suspension during the quarter.
- Receive no more than four (4) Level 1 infractions (Consequence Ladder steps) during the quarter.
These celebrations are designed to recognize students who consistently make positive choices and contribute to a safe, respectful, and productive school environment.
School Expectations
- Follow the teacher's directives.
- Raise hand for permission to speak.
- Stay in your assigned seat or area.
- Keep hands, feet, objects, and unkind comments to yourself.
School-Wide Behavior Expectations
Students are encouraged to be self-disciplined. To become a responsible citizen, each student should learn: (1) to assume responsibility for his or her own behavior, and (2) to accept and deal with the consequences of his or her own behavior.
The St. James Parish School Board’s Discipline Policy will be strictly enforced at GES as our instructional team feels a professional and moral responsibility to our students. Our goal is to guide them in the development of citizenship skills necessary to function successfully as a productive, law-abiding member of our democratic society.
Students who do their work and behave themselves appropriately do not normally have problems in school. Please discuss the behavioral expectations with your child. Our staff has high expectations for students. We need your support as we work together to provide the very best learning environment for all students.
- Students will be expected to respond in a positive and timely manner to the direction or request of all staff members and adults.
- Students are expected to complete all class assignments following the teacher's directions to the best of their abilities.
- Students should respect the personal rights and property of their classmates and others.
- Profanity or vulgar expressions of any kind are absolutely unacceptable.
- Care of school property and equipment is of utmost importance. All students are charged with the responsibility of helping to maintain a neat and orderly school environment.
- Students are expected to refrain from rough or aggressive play (e.g., pushing, shoving, tripping, play fighting, and tag games), which may result in injury to themselves or others.
- Fighting, provoking a fight, or intimidation is prohibited. Students must avail themselves of the resources here at school to resolve conflicts. Students should contact one of the following: a teacher, administrator, counselor, or other staff member.
- Common playground and classroom courtesies are expected of all students. Students using playground equipment/apparatus should refrain from stunts or activities that have been judged to be dangerous. Hold onto bars with both hands at all times.
- Walk quietly in the hallways.
- Personal toys and electronic devices should be left at home unless brought for a class project and/or teacher approved.
- Orderly and otherwise appropriate behavior is expected of all students at all times.

Birthday Celebrations
At Gramercy Elementary we are committed to honoring instructional time; therefore, birthday parties for individual students are NOT allowed. Parents are welcomed to send store bought treats to school for teachers to hand out during recess. Presents, balloons, and fast food are not allowed. Parents will NOT be allowed to enter the building for birthday celebrations. All treats must be dropped off in the office and celebrated during your child’s recess/lunch time. Instructional time cannot be taken to celebrate birthdays.
Breakfast and Lunch
All enrolled students of GES are eligible to receive a healthy breakfast and lunch at school at NO CHARGE to your household for the entire school year. No further action is required of you. Your child (ren) will be able to participate in these meal programs without having to pay a fee or submitting a meal application. Visitors may purchase breakfast for $3.00 and lunch for $6.00. Please refer to the parish’s Student Policy Manual for all policies referring to lunch and breakfast. Breakfast will be served from 7:30AM-7:45AM daily. Carpool students wishing to eat breakfast must be at school before 7:45 AM.
Bus Riders
The bus is an extension of the school. Bus operators must be respected and obeyed by both students and parents/guardians, as they are responsible for providing students a safe trip to and from school. Discipline on the bus is important to ensure students' safety. Students are expected to follow bus expectations, and logical consequences will be given if expectations are not met. Parents/guardians will be notified by the school bus operator of any violation of expectations and a School Bus Behavior Report will be sent home. It is a privilege extended by the School Board to ride the bus, and students may be suspended from riding the bus. See the St. James Parish Schools Student Policy Manual for detailed policy and discipline information.
Routes and bus stops are established by the transportation supervisor and driver. If you have any questions or concerns about a bus stop or route, contact the transportation director at (225) 258-4605 or email transportation@sjpsb.org.
REGULATIONS FOR BUS RIDERS
1. Arrive at the pick-up spot 10 minutes before the bus arrives.
2. Avoid horseplay at your bus stop.
3. Wait for the bus to come to a complete stop.
4. Use the handrail and watch your step when getting on the bus.
CONDUCT ON THE BUS
1. Follow the directions of the driver or bus assistant.
2. Walk to assigned seat. Do not stand or move around while the bus is moving.
3. Keep feet, bags, etc. out of the aisle.
4. Yelling or profane language is not permitted.
5. Use a voice level 1 or voice level 2 so the driver can focus on safe driving.
6. Exit only at your approved bus stop.
7. Keep hands and head inside the bus. Do not throw anything out of the windows.
CARPOOL
Dropoff & Pickup Directions
- Please follow the diagram below for “Carpool Drop Off & Pick Up” directions.
- All vehicles must turn down the Church’s Street in order to drop students off and pick students up in the carpool line. Carpool parents will park and wait on the right side of the Church’s Street.
- When leaving school from the carpool drop off area, vehicles must turn left towards Golden Grove.
- Carpool vehicles will not be allowed to park on campus before 3:05 p.m. due to emergency preparedness protocol. (See diagram below.)
- Carpool students will be dismissed through the west side doors (ditch side) of the school.
SAFETY RULES
- All cars must have a carpool number visible through the windshield.
- Students will not be allowed to walk across campus to get into a car.
- Cars will form two lines side by side; cars first in line will pull past the covered drive.
- Students will wait for the duty teacher to signal for them to walk through the car line to enter their car.
- Several cars will be loaded at a time; once cars are loaded the duty teacher will signal for the line to move.
- Do not leave your car unattended in the carpool line.
- Do not pass other vehicles or buses in the driveway until the duty attendant signals that it is clear.
- Check all surroundings before driving off.
- Students are not to be dropped off in the bus loading area.

Cell Phones, Smart Watches, Jewelry, and other Personal Items
Students are not allowed to bring personal property to school that will not assist in the teaching/learning process. Expensive jewelry, iPods, trading cards, cell phones, gaming devices, etc. can be easily lost or stolen. These items can also be a great distraction and should be kept at home.
We recommend that students leave personal cell phones, smart watches, wireless headphones and other devices at home. If the device is at school, it should be turned off and not seen. This policy includes the time that students are riding on the bus. If a child chooses to bring a cell phone, smart watch, wireless headphones or any other student owned device on campus, the school will not be liable for damage or the lost or stolen item. All devices must be powered off from the start to end of the school day and remain in your child’s backpack. Students that chose to power on and use the device will be disciplined according to the St. James Parish School Student Policy Manual.
Clubs/Teams
Jr. Beta, 4-H, and Student Council are the service clubs offered at Gramercy Elementary. Members are expected to participate fully and follow each club’s guidelines. Swimteam and Cross Country are the athletic teams offered at Gramercy Elementary. Members are expected to participate fully and follow each club’s guidelines.
Communication
Text Message Updates and Robo-calls
We recommend that you keep all phone numbers updated in the JCampus Student Portal as this system communicates directly with our SchoolStatus App. This can be done by sending a letter requesting that phone numbers or student information is updated or corrected. We will utilize the JCampus text messaging system to send out school reminders, updates, or information.
Daily Communication Folder (Green Folder)
Students are provided with a green communication folder. Please check these for monthly calendars, WEEKLY behavior reports, lunch calendars, notices, and newsletters. We request that your child sign and return items sent home the next day.
Conferences
Parental involvement in the educational process is both necessary and important. Parents are asked to make appointments for conferences with teachers or the principal by calling the school’s office at 258-4800. Teacher conferences must be scheduled during non-instructional time.
Dress Code
Please refer to the SJPSB Student Policy Manual for information regarding proper dress code. Gramercy Elementary School’s color is “hunter green”. Students may wear hunter green or white polo style shirts or our school spirit shirt. They may also wear hunter green jackets or coats in addition to the parish approved colors. Jackets and sweatshirts cannot have hoods. Students will be given an Identification (I.D.) badge to wear on campus each day. I.D. badges will be kept in the teachers classroom daily. *Please see dress code flyer and district policy manual for more details.
Dress Down Days
Periodically, the school will sponsor dress down days. On these days, the students may wear clothing of their choice as long as it is in accordance with the St James Parish Schools Student Policy Manual. These regulations include, but are not limited to:
- No holes or tears in clothing

Emergency Drills
Fire, tornado drills, and shelter, and lockdown drills are conducted regularly. Detailed escape plans are posted in classrooms and reviewed with students regularly.
Field Trips
Parents will receive notices of field trips well in advance of the scheduled trip date and will have to sign field trip permission forms. The health and safety of the students are of prime concern when planning field trips. The principal has the right to deny participation/attendance in/at any school event/field trip if a student chronically fails to abide by school rules. This is necessary when the safety of that student or other students may be jeopardized.
Reporting and Grading System
A progress report will be sent home mid-quarter. Parents/guardians are to sign and return the progress report to the teacher. The official grading scale will be A, B, C, D, and F. The percentage ranges for each letter grade are as follows:
A = 90-100 B = 80-89 C = 70-79 D = 60-69 F= 59 or below
A grade of D or F indicates that the student is at risk of failing the grade. Report cards will be issued four times during the school year. Parents/guardians are urged to review the report cards with their children. If there are any questions or concerns about your child’s report card, please contact the school to set up a conference with the teacher. Parents/guardians must sign the report card envelope and return it to school. Report cards for the fourth reporting period will be mailed home. JCampus Student Progress Center is a website that parents/guardians can access that reports the daily scores and academic performance of your child in all academic areas. In order to receive the access regarding this website, legal guardians are to present proper identification to a School Office Specialist.
Recognition for exceptional academic achievement will be made quarterly. These recognitions include Principal's List, Honor Roll, BUG Award and End of the Year Scholars. The guidelines for recognition are as follows:
Superintendent’s Honor Roll - A’s in all subjects
Principal’s Honor Roll - A’s and B’s in all subjects
School’s Honor Roll - A’s, B’s and no more than 1 C in all subjects.
B.U.G. Award - Awarded in 2nd, 3rd, and 4th Nine weeks only when a student brings up a grade in at least one subject without going down in any other subjects.
End of Year Scholars - Awarded at the end of the year for any student with a cumulative GPA of 3.5 or above.
School Supplies
Students are required to come to school with all supplies on their grade level supply list no later than the second week of school. Supply lists are located on the school's website, mailed with final report cards, and can be obtained from the school office. Each student is required to have at school the necessary supplies to be prepared for learning.
Free Online tutoring or Homework Help
Homework Louisiana at homeworkla.org offers free online tutoring and academic resources from Tutor.com for Louisiana residents from kindergarten students through adult learners. Students can get help in math, science, social studies, and/or English Language Arts from a live tutor. The services can be accessed from a Louisiana public library, from a home computer, or from a mobile device.
Makeup work
Students are expected to complete their classwork upon their return to school. Students are to be given full credit for satisfactory work. Teachers are to provide students with feedback on their makeup work and support student learning, when the student does not understand. When an absence occurs, it is the students responsibility to inquire about, complete, and turn in assignments. The following is offered as a timeline for makeup work:
- 1 day absence day following return to school
- 2 day absence 2 days after return to school
- 3 day absence 3 days after return to school
- 4 day absence 4 days after return to school
- 5 day absence 5 days after return to school
If a student is absent more than 5 days from school, the student and parent should make arrangements with the classroom teachers to complete makeup work. We understand that extenuating circumstances do occur. We will address these on a case by case basis.
Physical Education
All students must wear athletic/tennis shoes in order to participate in PE classes. Medical Excuses for Physical Education and/or Physical Activity Generally, a student well enough to be in school is required to participate in all classes, including those which require physical activity. When a situation arises wherein a student cannot engage in physical activity, or physical activity would be harmful for a student, the following procedure is to be followed:
Parents/Guardians must contact the school to notify administration that the student is unable to participate in physical education activities. In addition, the student is to bring an excuse signed by a parent or guardian to the homeroom teacher. The excuse should note the length of time the student is to be excused from PE or physical activity. The teacher gives the excuse to the school office specialist, school nurse or administrator who notifies other appropriate staff. The teacher may assign alternate assignments that do not require physical activity for the student.
Excuses for Students with Temporary Limited Mobility in and Around School and Classrooms
When a situation arises wherein a student has temporary, limited mobility in and around the school and/or classrooms, the following procedure is to be followed:
- The student is to bring an excuse signed by a parent or guardian to the homeroom teacher. It is preferable that the parent or guardian make an appointment with the school nurse or administration to report the physical limitations and discuss a possible accommodation plan.
- The school nurse or administrator will notify other appropriate staff (including the school office specialist) regarding the limitations and accommodations.
Resolution of Conflicts
Conflicts can best be addressed through effective and timely communication between the parties most involved. For example, a bus dispute should be addressed with the bus operator prior to the principal. The same can be said for a concern about class discipline or testing procedures. Please speak with your child’s teacher first regarding situations in which they are directly involved. If a resolution is not reached, please contact a school administrator. Please know that the principal delegates to the assistant principal to act on his/her behalf on many occasions.
Library
Students will be allowed to check out up to 2 books. Students are responsible for handling the books with care and not losing the books. If books are lost, the parents will be notified and the student’s book check out privileges will be limited until the book is found or the replacement fee is paid.
Lost and Found
Please put your child’s name on all removable clothing, book bags, lunch boxes and any other items he/she can put down. Small items, such as glasses, keys, and wallets, if found, are kept in the office. Clothing will be kept in a bin. All unclaimed items will be periodically donated to St. Vincent de Paul’s charity.
Money Owed
Parents may sign-up for a payment plan to address past due balances.

Parent-Teacher Organization (PTO)
The PTO invites each parent to become an active member. The yearly membership cost is $5.00 per family which is due in August. PTO membership is open to parents, guardians, grandparents, aunts/uncles, neighbors. Information about membership and meetings will be sent home with students.
MEDICAL INFORMATION
Immunization
The state of Louisiana requires that all students attending public schools must receive certain shots in order to attend school. In addition, schools are required to report the immunization status of every student on the 30th day of each school year. Students who have not been properly immunized, according to state law, should be excluded from school until their immunization status is in compliance. To demonstrate compliance, written proof of immunization must be kept on file in the Nurse’s office. Students who require updated immunizations will be notified.
Food Allergies
If your child has a documented food allergy that prevents them from eating school lunch there is a form that must be completed and signed by a physician for the cafe to provide an alternate lunch. You can also send a home-prepared meal on days when a menu item could potentially cause a reaction.
Epi Pen Policy
In accordance with current state law concerning the administration of medicine (La. R.S. 17:436.1), GES adopts the policy to maintain a supply of auto-injectable epinephrine (“epi-pen”) in a secure location (Nurse’s office). The epi-pen is assigned to a student who is deemed by a doctor to be at high risk for anaphylactic reaction and is incapable of self-administering an epi-pen. Annually, the parent or legal guardian of the student shall provide GES with an epi-pen to be kept in the Nurse’s office with written authorization for the administration of medication, written certification from the student’s licensed medical physician, and a written treatment plan. In addition, each classroom teacher and instructional staff member receives training for how to access and administer the epi-pen, as well as the signs and symptoms of anaphylactic reactions and how to care for the student. The training is provided at the beginning of the school year. Finally, the school shall inform the student’s parent or legal guardian in writing that the school shall incur no liability as a result of any injury sustained by the student from the good-faith administration of an epi-pen.
Health Information Forms
All students are required to have the State of Louisiana Health Information form on file in the Nurse’s Office. This form allows you to inform the nurse about medical conditions and other pertinent medical data which could be used to formulate a safety plan for your child.
Any allergies to food, bites, etc… require a note from the child’s doctor. If your child has any other chronic conditions, such as asthma, diabetes, epilepsy, etc…, the doctor must submit the diagnosis with a detailed treatment plan.
The LFC Health Update Form should also be on file in the Nurse’s office for all students. This form provides information concerning your child’s last check-up, last tuberculosis test, and if they are updated throughout the year. Parents are expected to obtain the required shots and provide the school nurse with an updated shot record provided by the doctor’s office/clinic where the shot occurred. Failure to comply with the immunization policy will lead to a student being excluded from school until he/she is in compliance.
Information Handling
All medical information is confidential and will be reviewed as needed by the school’s nurse. In addition, the law requires that the school must identify all students who are allergic to pesticides/pests. A completed Allergy Questionnaire must also be on file in the Nurse’s office.
School Nurse Visits Tracking and Referrals
When a student visits the nurse’s office, the information concerning the visit will be recorded. Information to be tracked includes, but is not limited to, date, time, the reason for visit, findings, treatments, and resolution. If a pattern emerges with a student, the nurse along with others such as the student’s teacher, the school Social Worker, and members of the administration will meet to develop a plan of action to address the student’s routine visits. Chronic visits to the nurse’s office lead to a decrease in classroom instructional time, which may affect the student’s academic performance. Bandages will be available in all classrooms for minor cuts and scrapes. Ice will only be given to students if there are visible signs of injury such as swelling or a change in color to the surrounding skin area.
Illness During School
Parents will be called to pick up their children who become ill during the school day. Parents MUST furnish the office with three (3) emergency numbers and notify the office of any change in telephone numbers, the names of the persons to call, whether the number is a home, work, or cellular, and who we are contacting at each specific number. Incorrect numbers often result in students not getting the immediate attention needed.
Medication
The school adheres to strict regulations regarding medicine. Students are not allowed to bring any medication (over-the-counter or prescription) to school. Parents/Guardians must personally bring all medication (over-the-counter or prescription) to the school nurse. Medication should only be dispensed at school if it must be taken during the school day. If your child needs to take medication at school on a regular basis, you must complete the required paperwork (Medication Administration packet) in advance. These forms are updated each school year. All medications will be stored in a secured location in the Nurse’s office. This is for the safety of all students.
New Medication - The first dose of a new medication can not be given at school to ensure the child does not have an allergic reaction. The first dose must be given at home where the child can be closely monitored by the parent for adverse reactions.
Guidelines For Medication
The guidelines regarding students taking medication at school are as follows:
- We can only give medication to a student which can not be given before or after the school day.
- All medications given by a school employee must be prescribed by a doctor or dentist licensed in Louisiana or our neighboring states using the State of Louisiana Medication Order Form and shall include the following:
a. The student’s name
b. The name and signature of the physician/dentist
c. Physician’s/dentist’s business address, office phone number, and emergency phone numbers
d. The frequency and time of the medication
e. The route and dosage of medication
f. A written statement of the desired effects and the child-specific potential adverse effects
3. Medication (prescription or over-the-counter) must be in a container acceptable by pharmacy standards and have the doctor’s order information on an attached pharmacy-produced label and shall include the following information:
a. Name of pharmacy
b. Address and telephone number of pharmacy
c. Prescription number
d. Date dispensed
e. Name of student
f. Clear directions for use, including the route, frequency, and others as indicated
g. Drug name and strength
h. Last name and initial of pharmacist
i. Cautionary auxiliary labels, if applicable
j. Physician’s or dentist’s name
Labels of prepackaged medications, when dispensed, shall contain the following information in addition to the regular pharmacy label:
a. Drug name
b. Dosage form
c. Strength
d. Quantity
e. Name of manufacturer and/or distributor
f. Manufacturer’s lot or batch number
4. All medication that is to be administered routinely at school must be brought to the nurse’s office by a parent or guardian and received by a school employee.
- Along with the Medication Order form, a Parental Permission for Medication Administration at School form must be completed by a parent or guardian.
- These forms must be completed each time there is a change in medication since we are only authorized to give the medication as it is ordered. A new order is required at the beginning of each school year. A change in dosage for the same medication still requires a new Medication Order form from the doctor (this form is found in the Medication Administration Packet).
- Students may only carry their medication if the doctor orders the action, the parent approves the action and the school nurse signs off and then instructs the student on how the process will work at school.
- If medication for symptoms is required during the school day and the student does not have medication at school, a parent or guardian can make arrangements for an adult to come to the school, with the medication, and give the medication to the child.
No exceptions/changes will be made to the above procedures unless the State Department of Health and Hospitals makes revisions and you receive the changes on the official school letterhead.
Lice
School policy states that students must be lice/nit free to attend school. It is your responsibility to treat your child’s hair and remove nits. The school may perform periodic lice checks, and you will be notified if necessary. If your child is sent home with head lice, before returning to the classroom, your child must be declared lice/nit free by the school nurse. If you have any questions concerning treatment, please contact the school nurse.

Louisiana Parent Bill of Rights
A. The legislature finds all of the following:
(1) That parental involvement is a significant factor in increasing student achievement.
(2) That access to student information encourages greater parental involvement.
B. Parents of public school children who have not reached the age of majority shall have all of the following rights:
(1) To examine the textbooks, curriculum, and supplemental material used in their child's classroom.
(2) To inspect their child's school records, and to receive a copy of their child's records within ten business days of submitting a written request, either electronically or on paper. Parents shall not be required to appear in person for the purposes of requesting or validating a request for their child's school records. There shall be no charge for a parent to receive such records electronically. Any charges for a paper copy of such records shall be reasonable and set forth in the official rules and regulations of the school governing authority. School records shall include all of the following:
(a) Academic records, including but not limited to results of interim or benchmark assessments.
(b) Medical or health records.
(c) Records of any mental health counseling.
(d) Records of any vocational counseling.
(e) Records of discipline.
(f) Records of attendance.
(g) Records associated with a child's screening for learning challenges, exceptionalities, plans for an Individualized Education Program, or Individual Accommodation Plan.
(h) Any other student-specific file, document, or other materials that are maintained by the school.
(3) To be notified when medical services are being offered to their child, except where emergency medical treatment is required. In cases where emergency medical treatment is required, the parent shall be notified as soon as practicable after the treatment is rendered.
(4) To be notified if a criminal action is deemed to have been committed against their child or by their child.
(5) To be notified if law enforcement personnel question their child, except in cases where the parent has been accused of abusing or neglecting the child.
(6) To be notified if their child is taken or removed from the school campus without parental permission.
(7) That the school shall not discriminate against their child based upon the sincerely held religious beliefs of the child's family.
(8) To receive written notice and the option to opt their child out of any surveys that include questions about any of the following:
(a) The student's sexual experiences or attractions.
(b) The student's family beliefs, morality, religion, or political affiliations.
(c) Any mental health or psychological problems of the student or a family member.
(9) To receive written notice and have the option to opt their child out of instruction on topics associated with sexual activity.
(10) To receive from the school the annual school calendar, no later than thirty days prior to the beginning of the school year, and to be notified in writing as soon as feasible of any revisions to such calendar. Such calendar shall be posted to the school's website and shall include, at a minimum, student attendance days and any event that requires parent or student attendance outside of normal school days or hours.
(11) To receive in writing each year or to view on the school's website a comprehensive listing of any required fee and its purpose and use and a description of how economic hardships may be addressed.
(12) To receive in writing each year or to view on the school's website a description of the school's required uniform for students.
(13) To be informed if their child's academic performance is such that it could threaten the child's ability to be promoted to the next grade level and to be offered an in-person meeting with the child's classroom teacher and school leader to discuss any resources or strategies available to support and encourage the child's academic improvement.
(14) That the school shall not discriminate against their child by teaching the child that the child is currently or destined to be oppressed or to be an oppressor based on the child's race or national origin.
C. Notwithstanding anything to the contrary, a public school shall not be required to release any records or information regarding a student's medical or health records or mental health counseling records to a parent during the pendency of an investigation of child abuse or neglect conducted by any law enforcement agency or the Department of Children and Family Services where the parent is the target of the investigation, unless the parent has obtained a court order.

Louisiana Teacher Bill of Rights
Respecting the authority of teachers is essential to creating an environment conducive to learning, effective instruction in the classroom, and proper administration of city, parish, and other local public schools. To maintain and protect that authority, it is important that teachers, administrators, parents, and students are fully informed of the various rights conferred upon teachers pursuant to this Section, which are:
- A teacher has the right to teach free from the fear of frivolous law suits, including the right to qualified immunity and to a legal defense, and to indemnification by the employing school board, pursuant to R.S. 17:416.1(C), 416.4, 416.5, and 416.11, for actions taken in the performance of duties of the teacher’s employment.
- A teacher has the right to appropriately discipline students in accordance with R.S. 17:223 and 17:416 – 416.16 and any city, parish, or other local public school board regulation.
- A teacher has the right to remove any persistently disruptive student from his/her classroom when the student’s behavior prevents the orderly instruction of other students or when the student displays impudent or defiant behavior and to place the students in the custody of the principal or his/her designee pursuant to R.S. 17:416(A)(1)(c).
- A teacher has the right to have his or her professional judgment and discretion respected by school and district administrators in any disciplinary action taken by the teacher in accordance with school and district policy and with R.S. 17:416(A)(1)(c).
- A teacher has the right to teach in a safe, secure, and orderly environment that is conducive to learning and free from recognized dangers or hazards that are causing or likely to cause serious injury in accordance with R.S. 17:416.9 and 416.16.
- A teacher has the right to be treated with civility and respect as provided in R.S. 17:416.2.
- A teacher has the right to communicate with and to request the participation of parents in appropriate student disciplinary decisions pursuant to R.S. 17:235.1 and 416(A).
- A teacher has the right to be free from excessively burdensome disciplinary paperwork.
- A beginning teacher has the right to receive leadership and support in accordance with R.S. 17:3881, including the assignment of a qualified, experienced mentor who commits to helping him/her become a competent, confident professional in the classroom and offers support and assistance as needed to meet performance standards and professional expectations.
- No city, parish, or other local public school board shall establish policies that prevent teachers from exercising the rights provided in this Section or in any other provision included in R.S. 17:416 through 416.16. The provisions of this Section shall not be construed to supersede any other state law, State Board of Elementary and Secondary Education policy, or city, parish, or other local public school board policy enacted or adopted relative to the discipline of students.
- Each city, parish, or other local public school board shall provide a copy of this Section to all teachers at the beginning of each school year. Each such school board also shall post a copy of the rights provided in this Section in a prominent place in every school and administrative building it operates and provide such a copy to parents or legal guardians of all children attending such schools in a form and manner approved by the school board. Each city, parish, or other local public school board and every school under its jurisdiction that maintains an Internet website shall post on such a website a copy of the Teacher Bill of Rights required by this Section.

Discipline Philisophy
- It is the job of every faculty and staff member to create a positive environment for all students, where all students feel welcomed each day at Gramercy Elementary School
- All students must feel that they have the same opportunities to experience success as any other student at GES.
- Students who are meaningfully engaged in learning activities and who are accustomed to established, orderly procedures and routines are less likely to cause problems in the classroom.
- We believe in creating a positive classroom environment through high expectations, consistency, positive reinforcement, and fair and appropriate consequences.
Best Practices in Establishing a Classroom System of Positive Behavioral Supports
- Build relationships with students.
Building positive relationships with students is the most effective way to establish a positive classroom environment. Students will behave for teachers when they believe those teachers care about them and want what is best for them. This does not happen through embarrassment, judgement, humiliation, etc. Yelling at a student in front of other students (or at all for that matter), will not build a positive relationship.
- Keep students engaged in learning.
Students who are consistently engaged in learning do not have time for negative behaviors. Minimize unstructured time. Lessons should sustain student attention and encourage active engagement in the activities.
- Clearly state behavioral expectations.
Classroom rules should be clearly stated, and displayed. The rules should emphasize appropriate behavior rather than listing inappropriate behaviors.
- Positively reinforce appropriate behavior.
To promote desired student behavior, teachers should communicate high and positive expectations, and have more positive than negative interactions.
- Reach out for family support.
Students are less likely to engage in inappropriate behavior when their families are actively involved in their school lives. Reach out to their guardians! It’s often the key in managing student behavior.
- Establish predictable routines.
Beginning the first week of school, establish clear and predictable routines and actively involve students in practicing and modeling these routines.
- Consistently enforce school/class rules.
Consistency is KEY! Students must know that the expectations will not change from day to day or from class to class. Be consistent in your own classroom and across your grade level.
- Display warmth and acceptance toward students.
This may be communicated by expressing positive affect, empathy, and support for all students as well as interest in each student as an important individual.
9. Request assistance for students who exhibit chronic and/or serious inappropriate behavior.
Active Supervision Guidelines
The purpose of a PBIS system is to decrease unwanted behaviors and increase desired behaviors. Active Supervision is crucial in decreasing unwanted behavior. Active Supervision is a monitoring procedure that uses three components: moving, scanning, and interacting frequently.

We at Gramercy Elementary School agree that a well-defined, well-organized, and documented discipline system works and has helped us all maintain a well-disciplined school. This discipline system maximizes learning and makes the students accountable for their own behavior. All level 1, 2 and 3 behaviors and consequences will follow the Parish Student Policy Manual. In order to maintain a classroom that allows all children to learn, Gramercy Elementary School has a school-wide discipline plan. This plan involves rules, rewards and consequences for infractions that will be used in all classrooms.

Procedures for handling minor behaviors in the classroom |

When a student is unable to follow classroom rules after intervention strategies have been attempted, that student should receive a minor infraction. Minor infractions will be recorded on a shared Google Spreadsheet. Each week, the following procedures will be in place:

When a student’s behavior warrants more than a minor infraction:

Parent Communication
- Students will have a behavior communication chart that will be kept in the back of their folders.
- These only need to be filled out at the end of each week and should reflect any minor infractions the student received within that week.
- Parents will be asked to sign the chart at the end of each week before the student returns on Monday.
- Students bringing back a signed behavior chart will receive 3 PBIS points each Monday.
In-School Suspension Program
- The purpose of in-school suspension is to provide an alternative to out-of-school suspensions while providing strategies designed to help students improve behavior.
- In-School Suspension (ISSP) shall not prevent disruptive students from being removed from school setting and requesting expulsion hearings.
- In-School Suspension (ISSP) will be scheduled every day of the week. Do NOT send students to ISSP for any reason. Administrators will provide the ISSP teacher with a roster of students assigned to attend on any given day.
- Teachers should submit hard copies of student work by 8:00am each morning the student is in ISSP. Student work should be according to what the student would be doing in class that day.
- Students assigned (ISSP) shall report directly to ISSP upon entering the school building.
Out of School Suspension
- An Out of School Suspension is defined as a temporary removal from school.
- A student who is suspended out of school will receive an unexcused absence for each day of the suspension.
- Students who are suspended out of school are not allowed to participate in or attend any extracurricular or after school activity on any days suspended.
It is now state law that all students who are suspended are given their make-up work upon their return to school.

Student Rewards
PBIS Online Reward System
What is it?
PBIS rewards is an online system where students earn points for good behavior. Points will be given through the app on Clever or on your phone. Points will be used to cash in and receive rewards.
How do I give points?
Teachers will be able to give points to any student at GES. Teachers will also be able to give points to an entire class if they choose to do so. Points can be given through the app on Clever or teachers can download the app on their phones for quick access.
How do students use points?
Students will be able to access their PBIS Rewards account through Clever. They will be able to check their point balance. On designated days, students will be able to go to their individual teacher classroom stores or a grade level store to purchase rewards.
What can students get with points?
Twice a month, students will be able to purchase from the school store. On these cash-in days, students will be able to purchase a free dress day, which will be assigned on a designated day (likely the next Friday). Grade levels/teams/teachers will also be able to create a grade level or teacher store to give other prizes that students can spend their points on. In addition, students will have the opportunity to keep their points and use them at the end of each quarter for a raffle.
Golden Gator of the Month
Outstanding students in each homeroom class are also rewarded “Golden Gator of the Month.”
Teacher Rewards
Teachers are encouraged to use the PBIS teacher shout out to give their colleagues reward points to be used on monthly raffles.
Other Important Policies:
Cellphone/Electronic Device:
As stated in the SJPSB Code of Conduct, no student, unless authorized by the school principal or his/her designee shall use or operate any electronic telecommunication device in any public elementary or secondary school building or on the grounds thereof or in any school bus used to transport public school students.
If a student is caught using a cellphone, smartwatch, or any other prohibited electronic device, the teacher should:
- Confiscate the device
- The device will be turned in to the office and administration will call home.
- If a student refuses to hand over their electronic device please contact administration
Academic Integrity
With the addition of student devices in the classroom and now the popularity of Artificial Intelligence, cheating on an assessment or assignment has become a bigger problem than ever. Students need to be taught how to use AI in a way that is appropriate as this technology is not going away. When students are found to be cheating by either looking up answers, copying someone else’s work, plagiarizing, or using AI in an inappropriate way, consequences will be given. The student will be asked to complete the assignment again or re-take an alternate version of the assessment. Repeated offenses could result in behavior consequences as well.

Referral to a Behavior Support Coach
After 2 ODRs (Office Discipline Referral Forms) and 2 referrals, the PBIS team, led by Mrs. Maul will meet with the student’s teachers to determine additional interventions. Parents should be invited to meet with the teachers to discuss interventions.
Interventions should include these key points (reference: pbis.org):
- Increased Supervision and Practice with Self-Regulation and Social Skills:
Regardless of the intervention, Tier 2 supports include additional instruction for key social, emotional, and/or behavioral skills. An important outcome of Tier 2 interventions is when students can regulate on their own, when, where and under what conditions particular skills are needed and can successfully engage in those skills. Once data indicate a positive response to the intervention, students learn how to monitor and manage their own behavior.
- Increased Adult Supervision
Tier 2 supports include intensified, active supervision in a positive and proactive manner. For example, adults may be asked to move, scan, and interact more frequently with some students, according to their needs. This can be accomplished with simple rearrangements across school environments.
- Increased Opportunity for Positive Reinforcement
Tier 2 supports target expected behavior by providing positive reinforcement for often. For example, students who participate in a Tier 2 Check-in Check-out intervention engage in feedback sessions with their classroom teacher and other adults in the school as many as 5-7 times per day. Many students view this positive adult attention as reinforcing and as a result may be more likely to continue engaging in expected behaviors.
- Increased Pre-Corrections
At this level, another key practice to prevent problem behaviors is to anticipate when a student is likely to act out and do something to get ahead of it. For example, specifically reminding students of classroom expectations. These pre-corrections might be gestures or verbal statements delivered to an entire class, a small group of students, or with an individual student. Pre-corrections set students up for success by reminding them, prior to any problem, what to do.
- Increased Focus on Possible Function of Problem Behavior
It is important to consider why students engage in certain behaviors in order to align Tier 2 interventions best suited to their needs. When they know what motivates students to behave a certain way, teachers can help them find alternatives to their unwanted behavior.
- Increased Access to Academic Supports
Some students receiving Tier 2 behavior support may need additional academic support, too. Often challenging behavior serves the purpose of allowing students to avoid or even escape academic tasks that are beyond their skill level. Academic intervention along with behavioral support may be needed to improve student success.
If the additional documented interventions and support do not provide adequate support to curb behaviors, the student will be assigned a check in/check out coach.
Check In/Check out (CICO)
What is it: CICO, is a beginning of the day check in and end of the day check out. The focus of the CICO is on academic and social compliance. It is used to help teach and reinforce academic and social skills a student needs to be successful in the classroom. It is important that all staff members prompt and reinforce the student to use the identified skills.
What it looks like: The CICO form is given to the teacher prior to each period. At the end of the day the points are tallied and are aligned with a reward or motivating reinforcement. The form is taken home and signed by the parent and returned to school the next morning.
The Behavior Support Plan for the CICO will be created by the counselor using data and teacher and student input. The plan will be put in place within 3 days of the meeting. Additional copies of the plan may be obtained by the counselor.
A teacher may also refer a child in the event that a PBIS team meeting has not met or identified a child. All data to support this referral should be given to Mrs. Maul.

Behavior Calendar
Gramercy Elementary Quarter Behavior Calendar
At the end of each week, your child’s teacher will complete their behavior calendar to let you know if he/she received any minor infractions for the week. If your child gets to their 3rd infraction for the week, you will receive communication from his/her teacher on the day of (or day following) the infraction.
These charts should be signed by a parent or guardian WEEKLY. Students providing a signature on Monday morning will receive 3 PBIS points!
